Meeting Mastery Lesson Plan
Learners will acquire key meeting vocabulary and phrases, practice structured dialogue, and build confidence through guided role-plays to lead and participate effectively in professional meetings.
Effective meetings are essential in business environments. This lesson equips adult ESL learners with practical language, strategies, and confidence to communicate clearly, take initiative, and contribute meaningfully in professional meetings.

10 minutes
- Print Meeting Vocabulary Handout, Meeting Phrases Quick Reference, Role-Play Scenarios Cards, and Feedback Checklist.
- Review sample dialogues and familiarize yourself with key meeting phrases.
- Arrange seating for one-on-one or small-group role-plays.
- Prepare a timer or stopwatch to keep each activity on schedule.
Step 1
Warm-Up Discussion
5 minutes
- Ask learners about their past meeting experiences and common challenges.
- Elicit two or three meeting-related difficulties (e.g., interrupting politely, clarifying points).
- Note these on the board to reference later.

Vocabulary Review
10 minutes
- Distribute Meeting Vocabulary Handout.
- Have learners match key terms (agenda, minutes, action item, quorum) with definitions in pairs.
- Review answers as a class, clarifying pronunciation and usage.

Phrase Practice
10 minutes
- Hand out Meeting Phrases Quick Reference.
- Model how to open, transition, ask for clarification, and close a meeting.
- In pairs, learners drill each phrase aloud, swapping speaker/listener roles.

- Explain that one learner will lead the meeting and the other will participate, using the vocabulary and phrases.

- Learners conduct the 5-minute meeting based on their scenario, practicing opening, discussion, and closing.
- Observers use the Feedback Checklist to note strengths and areas to improve (phrasing, clarity, confidence).
- After each role-play, pairs switch roles and repeat.
- Provide corrective feedback and encourage self-reflection.
